Seeking Office Assistant
The Friends of Sheldon Jackson Museum (FOSJM) is seeking an organized, self-motivated individual to fill the role of Office Assistant. The ideal candidate will be skilled in writing, communication, and time management. Experience with office environments, website management, and/or social media is a plus.
This contract position averages 12 hours/week, and begins at $17 an hour. The contract runs from January – May, with an option to take on more limited hours in summer.
Position Details and Skills
The Office Assistant position is a contractual agreement between the Friends of Sheldon Jackson Museum and the assistant as an independent contractor. Expected hours average 12 hours/week and compensation starts at $17 an hour. At certain points in the year, weekly hours may range from 8-16 depending on project needs. The Board of Directors will collaborate with you to set a schedule of office hours that works for you, and modifications can be made as needed if notice is given. The schedule is flexible and includes the occasional option to work from home when agreed upon with the supervisor. The contractor is supervised by a designee of the Board of Directors of the Friends of Sheldon Jackson Museum. All insurance, social security, and taxes are the responsibility of the contractor.
The individual supports and projects the mission and importance of the Friends to the membership and the general public. The Office Assistant must be highly organized and an independent, self-motivated worker. Excellent communication skills are needed, specifically the ability to write well and convey information in different mediums (ex: fundraising letters, emails, social media captions). Experience in an office environment is ideal. Familiarity with basic website management is a plus. Programs and sites used in the office include Excel, Word, WordPress, Mailchimp, Canva, Square, and potentially Quickbooks.
Responsibilities
Office
- Keep all digital and hard copy office files up to date, including board manuals, income logs, password and contact info logs, etc.
- Maintain and update membership database and mail out membership cards and thank-you letters as needed
- Attend and take minutes for monthly board meetings, either in-person or on Zoom, from September through May
Communications
- Manage Friends’ communications, including email, phone, and office mail
- Work with museum staff to maintain the Friends website and update the events calendar
- Create social media posts for Facebook, Instagram, and YouTube as requested
- Work with the curator and board to advertise upcoming events via social media and physical flyers
- Produce a monthly e-newsletter in Mailchimp with museum events provided by the curator
- Produce a bi-annual hardcopy newsletter featuring articles by board members and volunteers
- Become familiar with internal news release guidelines and policies (templates will be provided)
- Assist in maintaining open lines of communication between museum staff and board members
Events
- Assist with the coordination of annual events, chiefly the wintertime annual meeting and April silent auction. Needed tasks may include booking venues, making travel and housing arrangements for speakers, setting up simultaneous Zoom streams, and purchasing refreshments/supplies with FOSJM funds.
- Assist curator as needed with preparation for the summer Alaska Native Artist Residency Program, chiefly housing and travel arrangements
- Work with volunteers and board members to assist in the execution of museum events, including set-up, clean-up, and refreshments
